Document management

Line 1 of the Abidjan Metro, an emblematic public transport project, aims to meet the high demand for mobility between the various communes of the Abidjan District, particularly on the north-south axis. The main aim of the metro is to relieve congestion in the urban area and ease travel for its inhabitants, thereby helping to reduce the city’s carbon emissions.

With a total length of 37.4 km and 18 stations, this first line represents a major project, comparable to the world’s major metro lines. The Abidjan metro will be the fourth metro in Africa and the second automated metro system on the continent. It is the country’s biggest infrastructure project of the last 50 years. Line 1 is scheduled to go into service in early 2029.

Our missions as PMO / Document Management Manager

The main mission of the Project Manager Officer (PMO) for the Métro d’Abidjan project is to ensure efficient and structured project management, focusing on document management and the implementation of an Electronic Document Management (EDM) system.

Document management objectives

Our document management mission is to provide the project owner (MOA) with an in-depth analysis and personalized advice for the implementation of its future EDM tool. This includes :

The contribution of an EDM to a project: Highlighting the advantages of having a dedicated EDM to improve efficiency, traceability and document security.

  • Implementation phases: Define a clear timeline from requirements gathering to DMS commissioning.
  • Requirements gathering: Identify crucial points such as coding, metadata, filing, access rights, validation circuits, distribution, reporting and archiving.
  • Tool selection criteria: Establish specific criteria to guide the choice of EDM tool.
  • Pre-contractual checks: Draw up a list of points to be checked and clarified with the publisher before signing the contract.
  • DMS parameterization: Determine the essential elements to guarantee the system’s longevity and efficiency throughout the project.
  • Staff recruitment and management: Define the profiles required, their job descriptions and their sizing for the implementation and day-to-day management of the EDM.
  • Deployment and training: Set up actions for effective deployment of the tool among project members, and maintain this level of efficiency.

Comparative study of EDM tools

We also carried out a qualitative and financial comparative study of the various EDM tools available on the market, specifically adapted to the construction sector, to meet the needs of the MOA. The tools evaluated included MEZZOTEAM, FUSIONLIVE, DYNEDOC and ACONEX. We then checked and refined the specifications of the chosen editor to ensure the conformity and effectiveness of the final choice.

In conclusion, the role of Document Management is essential to the success of this major infrastructure project, by guaranteeing optimized document management and rigorous implementation of EDM, to ensure fluidity and efficiency throughout the construction of the Abidjan Metro.
